March 9, 2023 – The Society for Clinical Research Sites (SCRS) has announced the launch of a new Site Payment Initiative. The initiative will be comprised of clinical research site leaders, sponsors and CROs committed to addressing financial burdens at the site level. Some of the initial goals of the program will aim to mitigate various financial challenges of sites such as holdback payments, patient stipend taxes, and delayed payment frequencies, among other objectives. Karen McIntyre, Senior Director, Patient Innovation Centre, Parexel, commented, “Investigative sites’ financial security and sustainability is in the interest of every sponsor and CRO. For the past decade, nearly 60% of sites have reported 6 months or less operating cash. Today 76% of clinical trial agreements continue to apply a withholding payment embedded since the early 1990s when data was transported by people rather than technology. The purpose of the SCRS Payments Initiative is to create a fair state where sites are paid 100% of earned revenue, payment terms are monthly rather than quarterly, and clinical trial volunteers are not penalized through tax.” Casey Orvin, Chief Commercial Officer, CenExel added, “Running a successful site or site network is complicated, especially with the current state of site financials. Addressing these crucial financial challenges of sites, such as delayed payment frequencies and holdback payments, is key to enabling site success. December 19, 2022 – Today the Society for Clinical Research Sites (SCRS) released two resources for the clinical research site community as part of a new Site Invoiceables Toolkit. The Site Invoiceables Guide contains a detailed overview of common billable items that a site should consider when assessing costs associated with a clinical trial. The goal of the document is to provide clarity to the terminology of line item invoiceables that are not uncommon in budgets and should be considered if applicable. It does not indicate specifics such as when or how much to invoice. The second resource, the Invoiceables Calculation Spreadsheet, helps calculate the items described in the Site Invoiceables Guide. Both resources are designed to help guide and provide insight into common costs for conducting clinical trials. While the Site Invoiceables Guide is available to everyone, the Invoiceables Calculation Spreadsheet is exclusively for SCRS members. “Unfunded, yet essential, study activities are a longstanding problem for the sustainability of studies,” said David Vulcano, Honorary President, SCRS. “These types of invoiceables, often called ‘hidden costs’, are generally not accounted for in the study budgeting process which can be detrimental to long-term site sustainability. We hope these resources will help provide a foundation for a more productive budgeting discussion to assure a study has enough resources to be successful.” “Many sites struggle with budget negotiations and determining which items are appropriate to invoice,” commented Jimmy Bechtel, VP of Site Engagement, SCRS. “The resource that our community and the project leadership team has helped produce is something that sites of all size and experience level can benefit from. December 8, 2022 – The Society for Clinical Research Sites has announced the launch of SCRS West: Clinical Tech and Innovation Summit. This conference and expo will focus on highlighting the site voice as the industry approaches innovations and technology solutions for research. The inaugural SCRS West Summit will be held June 7-8, 2023 at The Scott Resort in Scottsdale, Arizona. December 1, 2022 – The winner has been selected for the 2022 European Site Spark award, which recognizes outstanding and innovative work of research sites that are implementing new and exciting ways to operationalize trials. The Clinical Research Center, based in the Czech Republic and Slovakia, was chosen based on their presentation focused on its clinical trial management system (CTMS), CRC Tool. CRC Tool was developed as a central database for budget and expense tracking, visit scheduling, staff time management, and measuring key performance indicators (KPIs) for recruitment and retention. CRC Tool also serves as a quality documents database with all actual SOPs, forms and working instructions available to all relevant SMO members, including PIs. “Winning the Site Spark award that recognizes outstanding and innovative work of research sites is a great achievement for an SMO operating in two small central European countries,” said Michaela Vancova, Managing Director at Clinical Research Center. “Our CTMS system, CRC Tool, was created by software developer Jan Škaloud and is a result of several years of teamwork and professionalism. October 18, 2022 – Today the Society for Clinical Research Sites (SCRS) announced that Viviënne van de Walle has been awarded the 2022 Christine K. Pierre Site Impact Award. SCRS founder, Christine Pierre, was an industry leader who dedicated almost three decades of her life to advancing the work and voice of clinical research sites. In honor of her work and legacy, SCRS created the Christine K. Pierre (CKP) Site Impact Award to recognize an industry leader who has made an extraordinary contribution to furthering the voice of the clinical research site community. Nominations were made by the clinical research site community and open to any individuals employed by an SCRS member site. Viviënne van de Walle was selected as the recipient of this year’s award by SCRS leadership. Van de Walle studied medicine at the University of Maastricht and the University of Oxford. She has been a full-time principal investigator at several independent clinical research sites and in 2006 co-founded the independent research site PT&R. She regularly consults and educates CROs, pharmaceutical sponsors, and nutritional companies in executive and advisory board functions at trade organizations such as ACRP, SCRS, TransCelerate, CISCRP and NVFG. PT&R was also the recipient of the SCRS European Site Patient Recruitment Innovation Award (SPRIA) in 2019. Van de Walle accepted the Christine K. Pierre Site Impact Award at the 2022 Global Site Solutions Summit with more than 1,200 clinical research industry stakeholders in attendance. “Christine Pierre showed that sites are more alike than they are different. October 13, 2022 – The Society for Clinical Research Sites (SCRS) has announced that the University of California – Davis and Javara are the respective recipients of the Site Tank Award and Site Patient Recruitment Innovation Achievement Award (SPRIA). Site Tank, sponsored by Pfizer, recognizes a research site that has developed an innovative technology concept designed to enhance, empower and improve clinical research operations. For the Site Tank competition, the University of California – Davis Clinical and Translational Science Center presented its pilot training program for clinical research coordinators (CRCs). The program was created to address the persistent shortage of staff to support clinical trials, to increase diversity of the clinical research workforce and to provide a re-training STEM opportunity to under-resourced communities. This unique program combines classroom learning with workplace exposure to clinical research to train the next generation of CRCs. “Addressing recruitment and retention of clinical research coordinators is imperative for continuing and expanding clinical research,” said Kate Marusina, Ph.D., MBA, Director, Clinical Trials Office, UC Davis Clinical and Translational Science Center. “Our training program creates a previously untapped workforce pipeline. The unique feature of our program is its pre-competitive positioning and a strong emphasis on community engagement. In addition, by providing stipends to the trainees we contribute to the success of those individuals for whom a career in healthcare would have been unimaginable. We are changing lives one person at a time. Replication of this training blueprint across the country would be beneficial to our entire society.” Sponsored by StudyKIK, SPRIA recognizes a research site that has developed and implemented an innovative patient recruitment program. Javara presented their recruitment plan for the Infectious Disease Vaccine – RSV study, at SouthCoast Health in Savannah, Georgia. Their recruitment efforts prioritized community engagement and engaged Greater Gift, a non-profit organization with the mission to increase awareness of clinical research, especially among underrepresented communities.
